A registration confirmation email is sent automatically once you have completed your online registration. It serves as your official invoice and is sent to the email address you used to register (as well as the email in the “additional email address” field, if entered).

If you have not received your registration confirmation, please follow these steps:

1. Wait 60 minutes after registering. Occasionally registration confirmations are slightly delayed if the system is particularly busy.
2. Check your clutter and spam folders.
3. Email [email protected] and request that your registration confirmation be resent.

• All in-person registrants receive an electronic PDF of the abstract book and access to the mobile app. Recordings only registrants will receive the PDF of the abstract book, but will not receive access to the mobile app.

• In-person registration includes attendance at all program and social events, meeting materials, access to the exhibit/poster hall, Monday's Welcome Reception and dinner, lunches on Tuesday, Wednesday and Thursday, dinners on Tuesday and Wednesday, and attendance at the ASV Dance on Thursday evening.

• In most cases, the following items are not included in the registration fee and additional payment will be required:

  • The Thursday Night Banquet Dinner is not included in the full conference registration package, but can be purchased as an optional item. 
  • The Recorded Sessions Access Add-On item includes access to the Satellite Workshops and all State-of-the-Art Lectures, Symposium Sessions, and the Keynote presentation after the meeting. All session recordings will be posted for viewing after the meeting is completed (to allow for post-production and uploading) and available for 90 days after the meeting.
  • Satellite Workshops require an additional fee to attend in-person. Registration at one satellite workshop allows you to attend talks at any satellite. Satellite registration can be added by modifying your registration.
  • The 5-night dorm accommodations package, commemorative Annual Meeting T-Shirt, and guest registration will be an additional cost to attendees. Please note the varying deadlines and payment requirements for these items. 

Yes! A link to create your own personalized letter of invitation to ASV 2026 is included in your registration confirmation email. If you need a letter prior to registering, please contact the ASV office at [email protected]. 

Yes, on-site registration for the annual meeting is available during posted registration hours beginning at 4:00 pm on Sunday, July 26 at the Registration Desk located in Northup Hall on campus.

Please click here to login with the email you used at the time of registration and the reference number that was assigned to you upon confirming your registration. Some modifications must be facilitated through the Registration Manager. If you find you are unable to make your necessary modifications, please email [email protected] for additional assistance. 

Payment of a $50 administrative fee enables you to transfer your registration to another person. Substitutions will be transferred at the same rate as the original registration and can be made at any time. The substituting attendee will be responsible for payment of the $50 substitution fee and for any additional items they select. To facilitate a substitution, please email [email protected] to obtain the unique substitution registration link.

We understand that events may occur that prevent you from attending the annual meeting.

Cancellations received on or before June 15, 2026 will be refunded, less a 20% administrative fee. Unfortunately, no refunds will be given for cancellation requests after June 15, 2026. Refunds will be issued to the same method used for payment. Cancellation requests must be made by emailing [email protected].

 If, for any reason, the annual meeting should be canceled, ASV 2026 will refund the registration fee. ASV is not responsible for the refund of airfare, hotel, or other costs.

Cancellation of individual items received on or before June 15, 2026, will receive a full refund. However, we are unable to offer a refund after June 15, 2026. Optional agenda items are nontransferable and will be refunded to the original registrant if the request is made on or before June 15, 2026, and will be facilitated by emailing [email protected]. 

You will be able to enter any dietary restrictions or special needs information during the registration process. In most instances, dietary requests will be considered and accommodated during the menu planning process. Depending on the need, a member of our team may contact you for additional information.

Please note that due to vendor limitations, some requests may be combined (i.e. receiving a meal that is dairy-free, gluten-free, and vegetarian) or not accommodated.

Registered guests are invited to attend the welcome reception, evening socials, lunches, dinner on Monday, Tuesday and Wednesday, and the dance. Up to three guests can accompany a fully-registered attendee. Guest registration does not include meals during the Satellite Workshops or the Thursday Night Banquet Dinner. Guest tickets can be purchased separately for the Thursday Night Banquet Dinner by emailing [email protected].
